Terms & Conditions

The legal information you need to read when booking your getaway at Salvin House.

  • This contract sets out the terms upon which Clarice Carr & Company Limited (“Clarice Carr & Co) will provide a holiday let to you, as set out on the booking form (“Accommodation”). This contract is between the person who is the signatory to this Agreement (“You”) and Clarice Carr & Co. Clarice Carr & Co is the trading name of Clarice Carr & Company Limited, company number 11158570.

1. Booking Confirmation

  • To reserve Accommodation with Clarice Carr & Co we require a 35% deposit of the total rent due (“the Deposit”). This Deposit secures you the Accommodation at the time of booking for the length of time required. The Deposit is not refundable under any circumstances. The balance due for the Accommodation must be paid no later than four weeks weeks (28) days prior to your arrival unless otherwise agreed in writing. 

  • For bookings made within 28 days of arrival, full payment, by cleared funds, is required at the time of booking. 

  • If booking by telephone, payment must be made once Clarice Carr & Co has confirmed acceptance of your booking; or if booking via our website or email and the property is available, once you receive confirmation by email of your booking.

  • Bookings will not be confirmed until the required upfront payment (Deposit or full payment, depending on when the booking is made) has been received. 

  • Should payment not reach Clarice Carr & Co within the required time stated, Clarice Carr & Co reserve the right to cancel any booking made and, depending on the length of time remaining until the booking, any deposit paid may be forfeit. 

  • Failure to pay in accordance with the agreed terms of payment may result in suspension of Accommodation. Clarice Carr & Co reserve the right to charge interest on overdue accounts. 

2. Method of Payment

  • Bank Transfer: Pounds sterling. Bank details available on the online booking system or on request. 

  • Credit and Debit Card payments can be made when using the online booking system only. We are unable to accept card payments over the phone.

3. Accommodation

  • You will only have the right to occupy the Accommodation for the time specified. You are only granted a licence to occupy the Accommodation and this agreement gives you no other rights either express or implied to the Accommodation. 

4. Occupancy

  • The number of people permitted to occupy Salvin House is nine (9). If you have received a discount on the implicit basis that less people will be staying and/or that less rooms will be occupied, or if you have paid for less guests than you bring, Clarice Carr & Co reserves the right to charge for additional guests or additional guests will have to vacate the property. In addition, the making and laundering of any additional bedding used will need to be paid for. 

5. Duty of Care/Responsibility

  • It is the responsibility of the Guest to ensure they are respectful to the property and to neighbours. Guests must also ensure noise levels are restricted. Reports of excess noise from neighbours or the local council will mean automatic and immediate termination of the tenancy.

  • In addition, Guests have a responsibility and duty of care to ensure damage is not deliberately inflicted on the property or its contents. Smoking is prohibited and any evidence of this in the property will incur penalties. Such damages will be deducted from the deposit paid by the guest and receipts for remedial works will be provided to the Guest in such instances, where possible. 

6. Arrivals and Departures

  • Guests can check in to their property from 4pm (1600) on the day of arrival. On arrival, you will be asked to check the Accommodation and accept your stay. If you have an unaccompanied arrival, any issues should be reported immediately to Clarice Carr & Co. 

  • Check out is at 10am on the day of departure Monday to Saturday and 11am on Sundays. Please note you will be charged £30.00 per hour for every hour or part of hour that you delay housekeeping on your departure.

  • Key collection details will be provided prior to check-in date. 

7. Booking Alterations

  • If you wish to alter your booking, Clarice Carr & Co will make every effort to meet your requirements. All alterations must be confirmed in writing. The minimum notice period required is 14 days for all reservations. Any refund of costs is made subject to the property being re-let. You will, however, be obliged to pay any additional expenses incurred as a result of the alteration.

  • Clarice Carr & Co may charge, at its discretion, an amendment fee of £50 to cover the necessary administrative costs incurred. 

  • Depending on the reasons for your alteration, you may be able to reclaim cancellation charges from your insurance company, if you have taken out travel insurance.

  • Clarice Carr & Co recommend that clients purchase adequate travel insurance. 

8. Cancellations

  • All cancellations must be confirmed in writing. The notice period required is 28 days for all reservations, before which a 100% refund will be made. After this point, any refund is at the absolute discretion of Clarice Carr & Co and will be dependent upon our ability to relet the property for the cancelled period.

  • All refunds will be subject to an administration fee of £50, which will be deducted from the refund.

  • Depending on the reasons for your cancellation, you may be able to reclaim cancellation charges from your insurance company if you have taken out travel insurance. Clarice Carr & Co strongly recommend that clients purchase adequate travel insurance. 

  • For specific advice relating to COVID-19, please refer to Section 23 of this document. 

9. Refunds

  • Please note that all refunds will be made back to the bank account or payments card from which payment of our invoice was made. No other form of refund will be provided. Refunds will usually take between 3 to 5 working days to reach your bank (excluding Bank Holidays and weekends). Refunds will only be made once all keys have been returned to us. 

10.  Early Departures

  • In the event that a guest needs to check out prior to the agreed departure date, Clarice Carr & Co will make every effort to offer a refund of accommodation charges for the remainder of the stay. However, any refund will be subject to the property being re-let and will be subject to a cancellation charge of £50.00. 

11. Inventory / Property Care

  • A security deposit of £150 is required for all bookings, in addition to the rental charge itself. This is required to cover breakages and damages in the property.

  • No access to the property will be permitted and no keysafe code will be issued until this deposit has been paid. Your booking may be null and void, or subject to cancellation, if you do not pay this deposit, 

  • Clarice Carr & Co reserves the right to deduct from that deposit all amounts chargeable in accordance with section ‘Additional Charges’.

  • In the event that any damage or remediation exceeds the cost of the £150 deposit, Clarice Carr & Co reserves the right to charge the individual who made the booking at the address provided. You must pay this invoice within 7 days of issue, or further enforcement action may be taken.

  • Once the property is inspected following your departure, and provided there are no issues, the deposit will be returned by BACS or credit card refund within 7 days. 

12. Additional Charges

  • Broadband: Broadband is available free . Passcodes will be provided on check in. However, Clarice Carr & Co will not be responsible for any fault associated with the user’s hardware or software and no support will be available and Clarice Carr & Co will not provide compensation in any form for its failure to work. Clarice Carr & Co cannot provide any guarantees that they will work with the user’s hardware or software. Clarice Carr & Co cannot guarantee their use and will not be responsible for their failure to work nor will they provide any form of compensation. Our assistance in respect of any problems will be limited to our contacting the service provider and only during office hours ie. between 9.30am. to 6pm. and will not be considered an emergency. 

  • Cleaning: Clarice Carr & Co expects the property to be left in a reasonable state of cleanliness on departure. If, at Clarice Carr & Co’s discretion, additional cleaning is required on departure, the cost of this cleaning will be an additional charge. 

  • Smoking: Smoking is prohibited. If anyone is found to be smoking, or there is evidence of smoking in the property, they will incur a £250 charge by way of liability to cover the additional costs of cleaning, freshening and airing the Property over a 24 hour period. Any damages caused will be charged for in addition to this fee. 

  • Telephone: A fixed telephone line is installed in the property to facilitate the broadband connection. This line is not intended for use by tenants and no handset is provided. Any calls made on this line will be charged at cost, plus a handling charge of £25 to be paid from your deposit. 

  • Excessive use of Gas and Electricity: Please note where it is deemed that the fair use of gas and electricity has been abused, an additional charge will be made. The heating and hot water is pre-programmed for your convenience and comfort and you are free to control the heating within sensible limits. Should you override this and utilise energy to excess, an additional cost may be incurred. 

  • Sky TV: We ask that you do not purchase any additional content on the Sky Q box. You can use your Amazon account as an alternative. Any additional costs relating to this will be deducted from your security deposit. 

  • ​Additional Chargeable Services: Details of additional services are available on request. The cost of any such services is payable directly to the service provider. 

13. Damages:

  • A refundable damage deposit of £150 is due before arrival. This will be refunded following our housekeeping report after checkout. Damages to the property must be paid in full by the guest. In the event of any breakages, damage or extra cleaning required after the guest vacates, Clarice Carr & Co will notify the booker and or/guest, providing a detailed breakdown of the issues and the cost of rectifying them. Photographic evidence will also be supplied to the Guest, where possible. 

  • Inventories and condition reports can be provided on request at the beginning and at the end of the accommodation period if required. 

14. Keys 

  • Clarice Carr & Co will issue the guest with one set of keys, either from the agent or in the keysafe. An additional set will be available inside the property. If all issued keys are not returned on departure, we reserve the right to charge the guest or booker for the replacement of keys or changing the locks. The cost of replacement keys will be £75.00. The cost for replacing the locks will be no less than £100.00, whichever Clarice Carr & Co deem the quickest way of gaining access to the property. If such an eventuality should occur, Clarice Carr & Co also reserve the right to charge the guest for further night’s stay should it be the case that we are unable to gain access to the property and re-let it that day. 

  • If between the hours of 10pm and 8am, a guest locks themselves out of the property and requires assistance to re-enter, Clarice Carr & Co reserve the right to charge £75 call out charge in addition to the charge for lost keys (as above). 

  • Call Outs: If the emergency call out number is used to call out Clarice Carr & Co staff between the hours of 10pm and 8am for any purpose other than an emergency, Clarice Carr & Co reserve the right to charge the booker or guest a callout fee of £75.

15. Lost Property

  • Any items left in the property will be kept for 1 month after the departure date. After that date Clarice Carr & Co reserve the right to dispose of the property as it sees fit. Left items can be posted back at the tenant's expense. 

16. Rates

  • All rates quoted are based on the rates prevailing at the time that a booking is confirmed. Once a booking has been confirmed, Clarice Carr & Co will not change the rate quoted unless you change the booking. Rates are subject to change without notice and may vary for currency exchange movements where applicable between UK and overseas locations. 

17. Liability

  • Clarice Carr & Co cannot be held responsible in any way for loss of or damage to contents, furniture, fittings or any personal belongings at the property. Nor can Clarice Carr & Co be held liable for the acts or defaults caused by third parties. You are advised to ensure your own insurance policies cover loss or damage to personal property during your stay. Guests are advised to take out adequate travel and personal insurance. 

  • Nothing in this contract seeks to exclude liability for death and personal injury or any other liability not excludable under the laws of England and Wales. 

18. Access to Property

  • In addition to the weekly housekeeping service, Clarice Carr & Co may on occasion need to access the property in which you are staying. Clarice Carr & Co reserve the right to gain access to the property at all times. We will, wherever possible, endeavour to give guests as much notice as possible prior to entering the property. 

19. Pets

  • A maximum of two small or medium-sized, well-trained dogs may be brought to the property. This must be arranged in advance.

  • Dogs are not permitted in the bedrooms, and MUST be left in the kitchen, with the doors closed, if you decide to leave them in the property unaccompanied. Guests will be held responsible for any damage caused by their pets, so please bring a crate if you are not totally confident that your dog will not cause damage when left unattended. Any damage will be documented and paid for from your deposit. 

  • If you bring dogs without prior arrangement, or bring more dogs than permitted, or provide us with anu misleading information as to the nature and training of your pet, this will place you in breach of this contract, and we reserve the right to ask you to leave the property with 24 hours notice. No repayment of rent will be made. 

  • Any dog excrement left on the property following your departure will be cleared and a charge of £20 per deposit will be made for this service. 

20. Complaints

  • Clarice Carr & Co makes every effort to ensure its guests have an enjoyable stay. In the event that you are not entirely satisfied with the service offered, you should notify Clarice Carr & Co as soon as possible. 

21. Services

  • Clarice Carr & Co cannot be held responsible for any failure or interruption of services to the property, including electricity and water or any damage, disruption or noise caused as a result of repair works being carried out in another part of the town. 

23. COVID-19

  • It is your responsibility to tell us the nature of your party so that we can ensure that it complies with current government guidelines at the time of your stay. If these change, and your party is no longer compliant, we will offer you the option of rebooking for a future date or receiving a full refund, minus a £50 administration charge. 

  • If, on arrival at the property, we discern that you have been not been truthful as to the nature of your party, and if your party is therefore illegal under current COVID guidelines, we reserve the right to refuse entry to the property. In this case, your rental payment will be forfeit, and your security deposit will be returned.

  • In the event that COVID guidelines change during your stay, and this makes your party illegal under the revised rules, you will be asked to vacate the property within 24 hours and a pro rata refund will be issued for the unused part of your stay, minus a £50 administration charge.

  • The only situation where COVID-19 can have an influence on the terms and conditions of your booking is where the government introduces new laws that legally prevent your from travelling. In this case, a full refund will be provided minus a £50 administration charge. Any other reasons for cancellation, such as a member of your party catching COVID, will have no material effect on the terms and conditions of your booking and it is your responsibility to obtain travel insurance for such eventualities. 

  • Clarice Carr & Co may, entirely at our discretion, offer a full or partial refund IF we are able to relet the property for all or part of the period of your booking. This is an optional goodwill gesture on our part and should not be taken as a guarantee or promise. 

24. Restrictions

  • Should guests be in breach of these terms and conditions, Clarice Carr & Co reserve the right to request that guests vacate the property within 24 hours. 

25. Entire Agreement

  • This Agreement shall be governed by the laws of England and all Parties submit to the exclusive jurisdiction of the English Courts.

  • This document is the complete and exclusive statement of the Agreement between the parties relating to the subject matter of the Agreement which supersedes all previous communications, agreements or other arrangements, written or oral. 

  • It is expressly stated that no variation of this Agreement shall be effective unless in writing and signed by a duly authorised signatory of both parties. 

26. Health & Safety

  • All health and safety standards relating to the gas, electrical and stove installations at Salvin House, including chimney sweeping, are kept up to date and will be provided to guests on request. 

  • The attention of guests is drawn to the low doors in the kitchen, master bathroom and utility room, as well as the low ceiling in the hallway under the stairs, and the back door. Taller people should take care when moving around in these areas. We can take no responsibility for any injuries that result from failure to take note of these features. 

  • While we make every effort to ensure that Salvin House is safe and stress-free for all guests, we do not provide any child safety measures by default, with the exception of safety wires on upstairs windows. If you feel that any measures such as stair gates and plug socket protectors are needed, please discuss this with us in advance so that we can agree a way forward. 

  • Non-slip mats are provided in both bathrooms for guests and it is strongly recommended that these are used. If you experience a fall or incident where these mats were not being used, the owners of Salvin House can accept no responsibility therein. 

  • Full and detailed instructions are provided for all outdoor cooking and heating equipment. It is the responsibility of guests to read this information and use all equipment in a safe and sensible manner. Clarice Carr & Co cannot be held responsible for any accident or injury resulting from the misuse or careless use of this equipment. 

28. Electric Vehicle Charging

  • As a general rule, we do not offer electric vehicle charging. However, if you do wish to charge your vehicle from an outdoor socket, please speak to us first. A charge of £12.50 per night or per charge will be made. Failure to discuss this with us beforehand and/or any unauthorised charging will result in a fee if £25 per charge, or per day of your trip.
